Policy Statement and General Information
Governing Use of Facilities of the E. S. Good Barn
Martin-Gatton College of Agriculture, Food and Environment
University of Kentucky
The E. S. Good Barn conference facility is operated, funded, and maintained by the Martin-Gatton College of Agriculture, Food and Environment. Its primary purpose is to support the College’s mission of education, research, and extension in service to Kentucky.
Although the College manages scheduling and operation, all university rules and regulations apply. The following policies and guidelines ensure effective and proper use of the facility.
1. Priority for Scheduling and Allowed Uses
a. Programs related to the College’s mission (e.g., networking, communications events, professional receptions, and meals) have top scheduling priority.
b. Educational programs from other UK units must have a staff or faculty member present and participating throughout the event.
c. The facility is not available for weddings or personal social events.
2. Reservation Procedures
- Submit requests at: https://meetatbigblue.uky.edu
- No telephone reservations accepted.
- A confirmation email will follow the reservation request.
- Events are not approved until an official approval notification is received.
3. Cancellations
- Notify Ag Events at ukagevents@uky.edu as early as possible.
- Failure to cancel may result in loss of reservation privileges.
4. University Closures
- All events are canceled during official University closures, including holidays and inclement weather.
5. Room Setup & Cleanup
- Standard setups are provided in Culton Suite and Weldon Suite, unless alternate arrangements are made.
- Rooms must be left in original condition.
- Do NOT drag tables.
6. AV Equipment
- Do NOT unplug permanent AV equipment.
- For AV needs, contact Chris Miles at (859) 351-8593.
7. Food & Catering
- Weldon Suite and Gorham Hall: Catered meals allowed.
- Culton Suite: Only boxed or prepackaged meals permitted.
- Kitchen facilities must be scheduled in advance.
- Coffee pots are NOT provided.
8–9. Scheduling Limits
- Conference rooms may be reserved for classes or recurring meetings only on a limited basis.
10. Event Restrictions
- No admission charges allowed.
- No dances allowed.
- No weapons or dangerous objects allowed.
11. Safety & Accessibility
- Attendance numbers must comply with Fire and Life Safety Standards.
- No room or exit/entry may be blocked.
- Contact Ag Events at ukagevents@uky.edu or (859) 562-2723 with safety inquiries.
12. Incident Reporting
- Report all injuries, accidents, or incidents immediately to UK Police:
- Emergency: 911
- Main Dispatch: (859) 257-8573 (UKPD)
13. Emergency Protocols
- Fire Alarm: Evacuation is mandatory.
- Tornado Warning: Follow the Campus Emergency Action Guide posted near the elevator.
14. Use of Media
- All use of printed, audio, visual, and electronic content must comply with U.S. Copyright Law.
15. Security
- All security must be provided or approved by UK Police.
16. Alcohol Policy
- Serving alcoholic beverages requires prior approval from the Office of University Events.
17. Supplies & Setup
- The following are NOT provided:
- Extension cords
- Power strips
- Flip charts
- T-stands
- Easels
- General supplies
18. Wall Policy
- Nothing may be taped, tacked, or adhered to the walls.
- Bring your own easels or T-stands.
19. Smoke-Free Policy
- The E. S. Good Barn and surrounding outdoor areas are smoke-free.
20. Vacating Facility
- The facility must be vacated promptly after your event.
- Items left behind may be discarded.
21. Inclusivity Policy
- The E. S. Good Barn adheres to a strict policy of inclusiveness and respect for all individuals.

FAILURE TO COMPLY WITH THESE POLICIES AND GUIDELINES MAY RESULT IN THE LOSS OF PRIVILEGES IN THE E. S. GOOD BARN.
